Studio Hire Contract – Sen Yoga

(Effective from January 2025)

This agreement is between hirer and Sen Yoga.

1. Hire Charges
The hire charges are as set at the time of the original booking & may be subject to change with a minimum of 14 days’ notice in writing.

2. Payment

The hirer must pay any hire charges at least 14 days in advance. We accept Alipay, WeChat Pay and Bank Transfer.

Please be aware, late payments will result in Studio hire suspension and reallocation of the space to another hirer.

3. Use of Studios

The hirer has use of the speaker and projector for the period of hire. The speaker is AUX compatible (cables are not provided) please bring your own.

The hirer shall not permit any more than the maximum number of people specified to be in any studio at any time, as outlined in the form. Should studio numbers be exceeded, and the surplus participants will be asked to leave the premises. The hirer may be excluded from future hiring of the spaces if a second incident occurs.

The hirer must declare at the outset the purpose of the hire and the studio used for that purpose only. Use of any Sen Yoga equipment is not permitted. This agreement covers the activity stated in ‘Purpose of Hire’.  Should the purpose of hire change, a separate agreement will be required.

4. Noise

The hirer, their staff, or visitors must not make or permit to make any noise which may interfere with the use of other offices/rooms within the building, members of SEN YOGA or its staff. If the hirer is aware of any excess noise which may affect others, this must be stated at the time of the booking. When possible, SEN YOGA will make the hirer aware of any noise that may affect their booking. If the hirer is asked to reduce the volume by a member of staff, the hirer should follow this request.

5. Cleanliness and Breakages

Hirer must remove all trash after the event. You are not allowed to leave your bin bags within the studio premises.

The hirer must indemnify the owners against any loss, thefts or damage however caused, during or in respect of the period of hire. The hirer must not remove or make any alterations to the Studio, or any fixtures, fittings or furniture provided by SEN YOGA, bring into the building large items of personal furniture or attach any items to the walls or bars/ poles without authorisation. Taking the key out of the building, loss or damage to any keys will result in a £100 inconvenience fine or replacement fee. Any damage to the sound/lighting system equipment and speakers will incur a replacement or repair charge.

6. Third Parties

Applications on behalf of a third party must be declared at the time of application.

7. Applications / Requests for Hire

SEN YOGA has the right to refuse applications or requests for hire.

8. Use of Premises

The hirer, staff and visitors must only use those studios which are specified in the hire arrangement. The hirer, staff and visitors must vacate the building by the time specified. The finish time confirmed should not over run and must be vacant for the next hirer to proceed.

The hirer shall indemnify the SEN YOGA from and against any loss or theft caused by the hirer, staff and visitors failing to vacate the building by the time specified. The hirer, staff and visitors are not permitted at any time to use any facilities within SEN YOGA, other than the booked studio, showers, toilets. The hirer, staff and visitors must abide by the information posters (‘Studio Etiquette’, ‘When Exercising information’ and ‘Fire/ Emergency procedures’) which are displayed in the studios and around the building.

The hirer, staff and visitors must refrain from consuming food, hot drinks and chewing gum, and only plastic water bottles are allowed in the studios. No offensive language, behaviour or dialogue will be tolerated. Under no circumstances are alcoholic beverages to be consumed within the premises of Sen Yoga.

SEN YOGA has the right to demand immediate correction or terminate the contact.

High heels are not permitted in any studios unless they are dance shoes. Such shoes will need to be approved by the studio manager. This can be organised by SEN YOGA if requested. All individuals within the studio must wear shoe covers or taking shoes off. If this rule is not followed will result in a £100 professional cleaning fee.

9. Indemnification

The hirer shall indemnify SEN YOGA from and against:

all claims demands, actions or proceedings in respect of the death or injury howsoever and whomsoever caused of or to any persons which shall occur or arise from any accident or occurrence which shall happen while such person is on or upon any part of the premises during the period of hire or in respect of any loss or damage suffered or sustained by any person in consequence of any such death or injury, all claims, demands, actions, or proceedings and any loss, damage or injury which may be brought against or suffered by the owners arising from or in consequence of the non-observance or non-performance of any of these Conditions of Hire or any act, neglect, default or omission of the hirer, his/her staff or visitors, any claim under copyright law.

10. Cancellation of Booking

SEN YOGA reserves the right to cancel any booking or this agreement in total and will endeavour to give a minimum of seven days’ notice in the event of their cancellation of the booking, but reserves the right to give shorter notice depending on circumstances. Any compensation to the hirer on cancellation by SEN YOGA will be limited to the return of the hire charge. SEN YOGA is not responsible for any additional costs or losses caused to the hirer by the cancellation.

On the day of hire, SEN YOGA reserves the right to terminate the letting forthwith if, in their opinion the hirer, their staff or visitors are in breach of any of the terms and conditions of hire. In that event the hirer, staff or visitors are required to leave the premises immediately, taking with them their possessions and equipment. In the event of hire being terminated in such a manner, the owners will not be responsible for any claims, losses, actions or damages incurred by or on behalf of the hirer, staff or visitors in respect of this termination. Nor will any hire charge be waived.

11. Filming and Photography

No filming or photography is permitted in the building without prior written permission from SEN YOGA. If permission is granted the following restrictions apply:

• Inappropriate photography or filming is not permitted

• Nudity or anything of a sexual nature not to be photographed or filmed

• Under NO circumstances should building members and children be photographed or filmed

13. Music

The hirer must not make or broadcast music without the express permission of the owners. The hirer must in such cases organise directly with the Performing Rights Society or Mechanical Copyright Society or other bodies for any licence required for the uses of copyright material.

The following must be provided:

• PRS Music license

• PPL Music License.

• PLI Public Liability Insurance

14. Availability of studios and Price

All Studio bookings are subject to availability and preferred times/dates must be sent to SEN YOGA by email.  All bookings remain provisional until the hirer has received an email copy of this agreement which has been countersigned by SEN YOGA, in addition to an email confirmation stating specific times/dates and the confirmed price.
